Important reminder regarding hiring especially undergraduate students!

To all faculty and staff,

Students will be returning to campus this weekend.  Please keep in mind the following requirements regarding hiring.

In January, we shared a new ASC policy that went into effect on January 1, 2015 that stated the College HR Service Center requires 10 business days from the date the offer is entered into the HRA tool to process the hire. This change was made to allow the service center enough time to process the hire to be certain we can meet the requirements set by the Affordable Care Act.


Requiring 10 business days from the date of the offer is a college policy that applies to all new hires, rehires, and existing employees. To assist Physics HR in meeting this 10-day requirement, we are asking for a start date 12 business days in advance to be able to complete all needed steps (i.e., investigation of students working other OSU jobs, collecting signatures in DocuSign, and entering HRAs for approvals). For example, if you wanted to hire a student today, their start date would need to be Friday, September 4, 2015.


*         Faculty, please work with your administrative support staff to meet these requests. Administrative staff, please be sure to check with Physics HR on student details prior to starting hiring forms.


*         All other hires (visiting scholars, post docs, and researchers) require a minimum of 3 weeks to coordinate appointment details and complete needed steps for hire.


*         Staff who hire students and/or staff should work directly with Physics HR, Mallory Aliff, to make these requests.
