   Dear all,

    I was asked to send the message below regarding access.  Restrictions are now becoming very tight.  Only essential employees are allowed on campus.  Any individual requiring access to maintain essential equipment must be listed in the spreadsheet being processed by Phil Davids.  All labs should conduct these activities using the minimum number of individuals.

We hope you are all safe and healthy as we make these transitions to new life/work environments.  Our hope is to lessen the burden and worry, so this is mostly a review of our status relative to facilities, given the recent announcements by the University, college and state.  Please send this information out to all staff and students as we are now locking down all buildings.

We are in the process of shutting down all of our buildings to the public, staff, faculty and students. Everyone who can is required to work remotely. Please emphasize this to everyone in your unit – everyone who can is required to work remotely. Exceptions have to do with folks who must be physically present on campus to do necessary work – e.g., sanitation and security, and a small category of minimal personnel needed to maintain critical research activities (see today’s communication from Morley Stone<https://research.osu.edu/files/OhioState_Morley_Stone-letter-deans-ADRs.pdf>).

The Essential Personnel and Equipment need to be identified on the spreadsheet that was sent out by Sergio Soave and Ron Filippelli. This would identify building needs as we work to complete this shut down and campus security and FOD increase patrols. Please send those spreadsheets to us ASAP if you have personnel reporting to campus for essential functions. Those with critical research should also work with Chris Jaroniec to determine how to maintain these research areas with minimal staffing. The university’s central administration is working on how to deal with issues related to mail and deliveries.

If you are Essential Personnel and out and about, there are many buildings that will be locked.  Be mindful of this and always have your keys and BuckID with you. Call ahead if you need access to a building.  Your unit will have to arrange access with the OSU lock shop. Access may take a day or more.

With buildings on lockdown, mail carriers and shippers will not be able to enter buildings to make deliveries. If you have packages to be delivered, you will want to redirect them or have them held at central receiving.  Be sure there is contact information on your package and request tracking numbers. Those expecting sensitive research materials and lab equipment need to make specific arrangements with Stores to connect with those deliveries. Sparsely populated buildings can invite property crime, so we will be moving the access posture of our physical facilities to a status locked Mon-Sun, 24/7.  Campus Security, OSU Police and FOD will assume increased patrols.  Some units have inquired about “weekly walk throughs" by their staff, this activity is not authorized. Staff should work from home and not be assigned this duty. While we value the facilities we work in, and we truly appreciate everyone’s sense of pride in place, this is a time to prioritize people over property, and let the security teams protect the campus.

When the university allows personnel back into the buildings for work, the building will be reopened as necessary.

Again, if you must be on campus, bring your BuckID (and your keys) with you everywhere you go.  This ensures that you have access to the facilities you need when you need them.
