Reminder HR EARLY AUGUST Monthly Deadline: FRIDAY 08/09/2013

Hello Physics Faculty and Staff,

Below is information for the HR request deadline to Hire for Fall Semester, Request August Off Duty Pay (ODP), and a Monthly Payroll Certification Reminder for August.

The HR Physics request deadline will be one day earlier than scheduled due to high-volume processing and requests. The deadline will be Friday, August 9th at the close of business.

Administrative Support Staff, please assist faculty to complete forms in a timely manner and ensure all forms are signed by both faculty and support staff. With the rush of fall semester upon us, there is little time to send back incomplete forms. Please double check your forms that funding sources, projects and effective dates are accurate.


*         Hire requests for staff, post docs, and visitors should be submitted at least 1 month before start date. (Longer time is needed for visa processing).

o   Forms/Information required to hire: Physics PAR, CV/Resume, BSC Visa Form (if applicable), person's email address, home address, citizenship status, length of appointment, working location and room number,  and office/lab phone number.

o   Once submitted Physics HR will draft offer letter and collect appropriate signatures, and extend offer.


*         Hire requests for students should be submitted at least 5 business days into the future to allow for approvals and orientation. Students are not permitted to start working without completing hiring orientation. If you have a student working in your area that has not completed a Student Offer Form or been hired, they should not be working.

o   Forms required to hire students: Physics PAR & ASC Student Offer Form (attached). Student's Job Code/Classification can be listed as Student. Ask me if you need the student's employee ID. This can also be located on their Buck ID card. It's the 8 or 9 digit number above the long Buck ID card number.


*         Final Off Duty Pay (ODP) requests for August are also due on August 9th. Please be sure faculty do not exceed 14 working days in August. Faculty can earn 2 full months of ODP in June and July, and 75% of their 1/9th salary in August.


*         The Monthly Payroll Certification Deadline is Monday, August 19th. Please remind faculty to certify payroll for their employees. They will also get a separate email reminder in two weeks.
