In order to avoid additional charting issues, I have decided to move forward with option 2 below as of this morning. The copy forward will still work but please communicate the following to all dental staff who might use this new functionality:
When using the new Copy Previous functionality in the Epic odontogram (tooth chart), you will need to make some sort of modification to the drawing in order to properly save a permanent image of the diagram. If you do not need to make any corrections to the odontogram, you can simply draw a small dot or line in the corner of the image. This is necessary for Epic to recognize that the image has changed from the last saved version and store a new image in the patients chart.
If you copy a previous odontogram and save it without making any changes, you will get the following type of error:

In that case, open back up the tooth chart and make a change a minor change to the drawing as mentioned above. The error message should be replaced with the tooth chart as drawn.
We are working on a permanent solution and will update you when the fix is identified.

There was an issue with the original set up that we had done additional work to correct. The issue was that when you copied forward a prior tooth chart but didn’t many any changes to it (just closed it and moved on). It saved the data but not the image. If you made any changes to the tooth chart after copying, even just putting a line or dot somewhere on the image, it saved just fine.
We included a ‘fix’ for the problem but it isn’t working right as you can tell. Right now, we have two options.
1. Disable the copy forward function until we can figure this out (from the looks of things, this might take quite a while longer and perhaps even require Epic to deliver updates), or
2. Keep the copy forward function as is but remove our fix for the issue above. In that case, it will work just fine unless you are copying forward and not making any changes. In that case, you can just grab the pencil and draw a small line somewhere off in the corner of the image before saving/closing the tooth chart. If you happen to forget and see the error, you can always go back in and do that. The drawing data is still there. Epic is just not saving a copy of the image if no changes are made after the copy forward.
Which way would you prefer handling it? I’d like to figure this out now to minimize the impact.

Dr. Kumar – today when they used the import past tooth chart in the hygiene clinic we encountered an issue. The past tooth chart imported properly however when we made changes to the new tooth chart it resulted in changes to the previous charting as well. This obviously can be very problematic and I wanted to let you know asap.
