Dear Colleagues,

I want to inform you of a recent policy change concerning the guidelines for the videoconferencing of master's and doctoral examinations.  I have listed below the important parameters of the policy change as approved by the Graduate Faculty Council at its meeting on February 27.


-          Students will no longer be required to submit a petition when only one member of their exam committee will participate by videoconference.  The person that will be off-campus can be the advisor or a committee member.  Students in on-campus programs still need to be physically present on campus for their exam.

-          Petitions will still be required when more than one member of the exam committee wants to participate by videoconference.

-          Guidelines as stated in Appendix B of the Graduate School Handbook need to be followed for all exams conducted by videoconference.  Appropriate exam accommodations should be tested before an exam takes place to insure that all exam participants will be able to see and hear each other as well have access to any related materials used during the exam.

-          Programs should insure that the student and all exam participants approve of an exam utilizing a videoconference link.  In the case where the advisor is the person who will be off-campus, another committee member should be on campus to assist the student with the logistics of scheduling the exam.  Programs can enforce stricter guidelines as stated in the Graduate School Handbook.

This policy change is in effect immediately.  Petitions for a videoconference will not need to be submitted for upcoming spring exams unless more than one committee member is being linked by videoconference. In these cases a Committee and Examination Petition form will need to be submitted by the student and approved by the advisor and program at least two weeks before the exam date.
