How One Financial Aid Department Increased Efficiency and Student Experience

On the Washington State University campus, Financial Aid Officers work with students to address their needs and answer questions like many other college campuses. The difference on this campus is that the appointments are faster, straight to the point, and get results. What are the officers at Washington State doing differently than other colleges? It’s called ZZUSIS (pronounced zoo-sis) and it seems to be working.

According to Chio Flores, Financial Aid Director of Washington State University, their second year of the ZZUSIS system is “running much more smoothly than last year.” To make things even better, according to Flores they “also implemented several new technological improvements, which has also helped significantly.”

Recent improvements include the ability to upload financial aid documents through scanning and other imaging processes. It allows staff to see the student’s documents quickly and have access to them quicker and allows the office to save on paper and the possibility of losing documents and having to ask for them more than once. These changes have appeared to make the office run more smoothly, allowing the Financial Aid Officers to focus on the students’ needs.

Hey Bryan (and all),

At the University of Minnesota-Twin Cities, we are using our CRM system (Salesforce) to track all of our interactions with students about financial wellness.  We have specific case values that correspond with financial wellness, which makes tracking cases very easy.  Our counselors also place all comments/a recap of each meeting into the case, which directly writes over to PeopleSoft (our data system).  We are exploring scheduling uses within it as well, but so far have found GREAT value in utilizing our CRM for financial wellness, not to mention the stats and reports we are able to pull.
