Change to Calendar system

To all,

The department is moving the Meeting Calendar for conference and meeting rooms in the PRB to OUTLOOK.  This change has been beta-tested by our admins for the last month.  As of 5:00 pm on October 31, 2017, the former Calendar and Meeting Room Schedule will no longer be valid.

We have made every attempt to move meetings already scheduled in the major conference rooms to the Outlook Calendar through December 2017.  If you know you have scheduled meetings in the PRB in the future, please double check that they are in the Outlook calendar.  All staff and faculty have access to all rooms.  If you are a postdoc or graduate student who manages a seminar or other group meeting, please ask your group admin to schedule meetings or contact Shelley Palmer (palmer.14 at osu.edu<mailto:palmer.14 at osu.edu>) to request access.

Instructions for using the Outlook Calendar on PC, Mac and through Webmail are attached.  Even if you do not use Outlook as your email, you can make reservations for rooms in the building using the Webmail app.

One feature of this new calendar is that recurring meetings can be scheduled with one entry instead of individual entries.  You will no longer need to ask the front desk staff to make repeated reservations.  Please remember to add your name .# to the Subject line of the reservation.

Action items for anyone who has reservations in the old calendar:

1.       Set up Rooms in Outlook that you reserve (ask Admins if you need help)

2.       Double check that all of the reservations you require are on the Outlook calendar before EOB October 31, 2017.

a.       You can only reserve out 180 days.

b.       If you need to reserve further out, please contact Shelley Palmer (palmer.14 at osu.edu<mailto:palmer.14 at osu.edu>)

3.       Request access if you manage a seminar and are not regular staff or faculty.

4.       Remember that you may only reserve spaces for physics related meetings - if someone outside of physics would like to use one of our major spaces, please direct them to Kris Dunlap or Shelley Palmer who manage outside reservations.

5.       If after following ALL of the instructions provided, you are having trouble using the calendar or accessing a specific room, please contact PCF staff (Action at physics.osu.edu<mailto:Action at physics.osu.edu>).


We hope you will enjoy the added features afforded by using the Outlook calendar.  You may notice that most of campus is utilizing this resource for scheduling meetings.
