News: PeopleSoft 9.2 HR and SIS re-implementation;upcoming physics deadlines are 3/12/2014 and 4/11/2014

To all faculty and staff:

As was announced in the faculty meeting on February 27 and the Admin meeting on February 26, there will be some changes made to the PeopleSoft systems used for HR and Student Information.  Because of this change, it will be difficult to transfer personnel expenditures on the old system after the change.  It is important that we are proactive in making the personnel appointments and changes correctly and within deadlines listed in this email.

Faculty should ensure that personnel costs are charged correctly prior to the Physics March and April HR Deadlines, March 12, 2014 and April 11, 2014, and also complete any PETs by the March and April processing deadlines.  We would like to call your attention to a major change in the PeopleSoft Human Resources and Student Information Systems (effective at the end of May).  Because of this change, it will be difficult to transfer personnel expenditures on the old system (after May 2014).  Additional details of the changes are summarized below.

PeopleSoft HR 9.2 Update:
Current HR & Student Information Systems will undergo a noticeable update. The goal is to implement the most current version of PeopleSoft to maintain vendor support while positioning Ohio State to take advantage of new and improved functionality through the reduction of customizations.

What is changing?
One of the most notable changes is the implementation of Commitment Accounting, a new way for processing Job Earnings Distributions (JED) and Personnel Expenditure Transfers (PET).
Navigational changes will be evident in the HR & SIS systems and will change how users navigate between pages.
Field changes will include the removal of custom fields. Some of the field changes will result in the increased ability to do things incorrectly, which means more focus on auditing is required than what has been done in the past.

How can you prepare?
Review all personnel appointments on sponsored projects and university funding. Initiate funding changes well before the deadline (upcoming physics JED deadlines are 03/12/2014 & 04/11/2014).
Review projects with required cost-share and ensure that appointments are in place.
Initiate all necessary PETs well before the deadline (upcoming physics PET deadlines are 03/12/2014 & 04/11/2014).

Faculty should work with your Admin.  Admin should work with Steve, Martina, or Jean (per reporting structure);  Mallory is available to support Steve, Martina, or Jean.
We will provide HR report 4.4 to admin. after the February HR-GL post.

More information, training and awareness sessions will be communicated as they become available from the Office of Human Resources and the Office of Sponsored Programs.
