Dear CEGE grad students and faculty,

For those scheduling candidacy and final thesis/dissertation examinations this spring semester, please see the email below regarding exam formats. On campus, virtual, and hybrid exams will be allowed with no additional petition necessary, and guidelines are provided below.

 A reminder for those applying to graduate in SP21, applications should be pending Graduate School approval by 5pm on Friday, January 29, and more information about requirements, deadlines, etc. are available on our website, under the "Graduating Information" section: https://ceg.osu.edu/degrees/cegsp-program-resources.

Dear Colleagues,



Happy 2021.  I hope your spring semester is off to a good start and you are doing well.



I want to share information with you concerning the scheduling of candidacy and final thesis/dissertation examinations this spring semester.   With the return to campus activity on the horizon, exams can be conducted in a variety of formats; totally on-campus, all virtual, or a hybrid of the two.  We will not require a petition for a videoconference.  Students should work with their advisor and exam committee concerning the format that will work best for their situation.  A remote exam of course does require that all participants be able to see and hear each other, and the advisor should ensure the integrity of the exam location and the student’s participation.  If remote connections are lost for more than a brief period, the advisor will need to determine if the exam has been sufficient for a final vote, or if the exam will need to be postponed at no prejudice to the student.  PhD students doing a final defense will be responsible for clarifying the exam format with the Graduate Faculty Representative once assigned, and provide the necessary link if a remote format is being used.



Exams that will be conducted on campus will need to follow all current university health and safety guidelines.



In terms of doctoral students completing an Application for Candidacy or an Application for Final Exam on Gradforms, I want to give some tips in how to indicate the format of the exam on these forms.  These forms require the student to populate the “Room” and “Building” fields, as well as indicating if the exam will utilize a videoconference format.  Given the various scenarios for exams this semester, here is how the form should be completed:



  *   On-campus exam: The Room and Building field should indicate the on-campus exam location, and the videoconference question should be answered “No”
  *   Remote exam: The Room field should include the remote mechanism being used, such as Zoom.  The “Building” field should indicate “Videoconference”.  Yes to the videoconference question
  *   Hybrid exam: The Room and Building field should indicate the on-campus exam location, and the videoconference question should be answered “Yes”.  It will be helpful for either the student or the program to confirm the hybrid nature of the exam by posting a comment on the form (actually a student or program posting comments to clarify any of the exam options will be helpful).



Ok, that should at least establish the basics.  Let me know if you have additional questions.



Just a quick reminder that applications to graduate for Spring, 2021 need to be submitted by the student and approved by the program by Friday, January 29.
