Most of you have probably received this message and are already using
BuckeyePass (Duo) for multi-factor authentication.  They will be adding
it to Carmen during Fall break Oct 11.  If you haven't done so already,
you should register more than one device in case you can't authenticate
from your primary device you could still do so from a second device.

BuckeyePass to Protect Carmen and Vita in October

Dear Colleagues,

Multi-factor authentication is an important step in protecting personal
privacy for all our students, faculty and staff. Carmen is the next
important system to receive this protection through BuckeyePass
<http://eoaclk.com/e4hIO9D6dC/zellmer.1@osu.edu/>. In the uncommon case
that accessing a Carmen account is part of an academic misconduct issue,
this security tool also helps guard against that misconduct.

I know there is no ideal time to add this extra layer of protection to a
system that is widely used and accessed often, but we have decided to
enable BuckeyePass for Carmen on *Thursday, October 11*, during Autumn
Break. At this time, BuckeyePass will also be enabled for Vita
<http://eoaclk.com/y3p8oQE9nP/zellmer.1@osu.edu/>, which you may be
using to manage and track your scholarly activity.

You likely have questions about how this change will affect your
teaching strategy, and I hope to answer some of those common questions:

*What do I need to do?*
If you have not yet registered for BuckeyePass, visit
buckeyepass.osu.edu <http://eoaclk.com/bDw3urQWNj/zellmer.1@osu.edu/> to
register your mobile devices. It is highly recommended that you register
at least two devices. You should keep your mobile device with you so you
always have access to Carmen or other Ohio State systems.

*How do I ensure my students are registered?*
99% of students have already registered for BuckeyePass, as it is
necessary for them to access BuckeyeLink where they register for classes
and pay tuition and fees. Linking to buckeyepass.osu.edu
<http://eoaclk.com/E4sSZHnLFW/zellmer.1@osu.edu/> in your syllabus can
help any student who has not yet registered or who would like to add
another authentication device.

*How will this work for in-class exams in Carmen?
*Students will have to use a smartphone or other device to authenticate
when logging into Carmen. As long as they are active in the exam, there
will be no need to log in again, even during a lengthy exam. Students
are being encouraged to register more than one device as a backup in
case they lose or forget their primary device. Students can also call
the IT Service Desk at 614-688-4357 (HELP) to receive temporary access
codes for BuckeyePass.

*What if I don’t allow students to have mobile devices in my classroom?
*Students should be allowed to carry a personal mobile device at all
times. This allows them to participate in the Buckeye Alert system in
the case of an emergency. It provides access to several Ohio State
systems that require multi-factor authentication, including BuckeyeLink,
BuckeyeBox and now Carmen. Mobile devices can also make learning
materials more accessible and aid in students’ learning. While I
understand there are cases where mobile devices can be distractions, we
cannot ignore their potential to enhance the learning experience and
keep our students and their information safe.

For any additional questions about how this change might impact your
teaching, please contact carmen at osu.edu <mailto:carmen at osu.edu>. For
questions about multi-factor authentication, please contact
buckeyepass at osu.edu <mailto:buckeyepass at osu.edu>.

Thank you for your understanding as we work to keep your information
safe and promote academic integrity for our students.

Sincerely,

Mike Hofherr
Vice President and Chief Information Officer
