Hi everyone, 

I sent a request to Matt Cohen to ask about this data request. I know that ODE was going to do a study with AIR about the effects of gifted service, but this request doesn't seem to actually reflect what I thought the intent of the research was. 

I would caution all coodinators to make sure you get written approval from district administration before you release any personal student data. Given the current climate where data privacy issues are a sensitive issue, please be very careful.

Everyone: 

I am interested in how many coordinators are able to submit their data in the format requested (seen in the message below).  In working with my EMIS person, I was told that we do not keep the SSID's, so she would have to work with MDECA and then give me the info, and we would have to do quite a bit of hand work to meet this request.  Regrettably, we have had snow and delay days, so our winter testing has been disrupted, and we must complete the whole-grade testing before the next round of NWEA begins.  



Just want to know how many folks are going to do this and if they have any suggestions regarding how it can be done more easily than I understand it at this time.  Our district is always willing to comply with requests but this is a very short window given the current circumstances, thank you, Nell

Dear District Gifted Programs Coordinator: 
 
This letter follows a letter requesting student data for a study of the academic performance of gifted students being conducted by American Institutes for Research for the Ohio Department of Education (ODE). The goal of this study is to compare the achievement of students identified and served as gifted with the achievement of similar students who are not identified as gifted. Results from this study will provide ODE with valuable information on the academic growth of gifted students.
 
This letter summarizes the data requested for this study and provides instructions on how to provide data using the secure file transfer site created by American Institutes for Research. We have attached a data sharing agreement that outlines AIR’s use of these data and measures being taken by AIR to store data securely. We request that you provide these data and return a signed copy of the data use agreement by Friday, February 14th, if possible. 
 
Data Requested
We are requesting the following data on each student who was enrolled in this district between the 2008-2009 school year and the 2011-2012 school year:
1.     State student identifier (SSID)
2.     Name of gifted screening test(s) administered to this student each year
3.     Student score for any gifted screening exams administered each year
The ideal format of these data would be one record per student, per year, with fields for each screening test administered that year, indicating whether the student took that screening test, and another set of fields for each screening test administered that year, indicating the student’s score for each test he or she took. An Excel or csv file is the preferred format in which to receive these data, but we can accommodate most file formats.
 

Instructions for Data Transfer
Please use the following site information and instructions in order to upload student data files to this project’s secure file transfer site.

Instructions to Upload Files
1.   To log in to the secure site, just copy and paste the site address above into your Internet Explorer address window. (Note that the site functions best with the Internet Explorer browser – using other browsers such as Firefox or Chrome may cause problems.) You’ll arrive at a site page with two main areas, referred to here as the “file listing panels”: one on the left that displays folders on your computer and one on the right that displays folders on the site. The right hand side will be empty when you first arrive at the site page.
2.   At the bottom left of the page is a “Connect” button. Double-click on this – in the window that appears, type the username, password, and remote directory information above into the appropriate boxes. Make sure there are no blank spaces in the username field. Next to the “Local Directory” box, use the “Browse” button to select the folder on your computer containing the data files you wish to upload. Then click “Connect”.
3.   It may take a few moments for the connection to be made. Once it is, you should see your remote directory listed in the box labeled “Remote System” above the right-hand file listing panel.
4.   Now, in the left-hand file listing panel, locate and select a data file you’d like to upload. 
5.   Once you have the file highlighted, click the green arrow below the left file listing panel to upload the file to the site. It may take several minutes or more for the upload to complete depending on file size, and you can see its progress in the log located below the two file listing panels. Once the file has uploaded, it will appear in the right-hand file listing panel. 
6. Repeat steps 4 and 5 for each file to be uploaded. 
7. When all files are uploaded, click “Disconnect” at the bottom of the site page to log out of the secure site.
 
Thank you for taking time to contribute data to this project; these data are central to the methods being used in this study, and your district’s contribution is very valuable since only a fraction of Ohio districts maintain records adequate for this study.
